SEO ProCheck found one or more videos on your site with no caption track and no transcript. To a crawler, a video without text is a closed box. The audio may be packed with the exact phrases your audience searches for, but none of it is readable. The same goes for a person who cannot hear it, or anyone scrolling with the sound off. This is one of the few issues that hurts accessibility, search visibility, and engagement together.

Why captions and transcripts matter

Accessibility and WCAG. Synchronized captions for pre-recorded video are a requirement under WCAG, not a nice-to-have. Captions carry spoken dialogue plus speaker identification and meaningful sound cues, so a deaf or hard-of-hearing viewer gets the same information a hearing viewer does. Leaving them off shuts real people out and exposes you to accessibility complaints.

Indexable text for search and AI. Search engines index text. They cannot listen to your video and work out what it is about. Captions and transcripts hand them the full spoken content as crawlable words, which widens the range of queries your page can match. The same text feeds the AI systems that summarize and cite pages, so a captioned video is far more likely to be quoted than a silent embed. This is the same logic behind giving every visual element a text equivalent, the way an SVG needs accessible text so machines can understand it.

Engagement and sound-off viewing. A large share of video gets watched on mute, especially on mobile. Captions let those viewers follow along instead of scrolling past, which lifts watch time and completion. Those are signals platforms like YouTube reward, and longer engagement on your own pages is a quality signal too.

Captions vs transcripts vs subtitles

These three get used interchangeably, and the difference matters. Captions are time-synced text over the video that includes dialogue, speaker labels, and sound cues like music or a door slamming. Subtitles only translate spoken dialogue for viewers who can hear but do not understand the language, so they leave out sound cues and do not satisfy accessibility requirements. A transcript is the full text of the video as a single readable block on the page, often including descriptions of important on-screen action. For a video that works everywhere, you want captions on the player and a transcript on the page.

How to add captions and transcripts

WebVTT files for self-hosted video. If you serve video with the HTML5 video element, add a caption track with a WebVTT (.vtt) file. Drop a track element inside your video tag pointing at the file, set kind to "captions" and the correct language, and the browser renders a caption toggle. WebVTT is plain text with timestamps, easy to edit by hand.

Platform captions. If your video lives on YouTube, Vimeo, or Wistia, upload a caption file or use the platform editor. YouTube indexes caption text, so accurate captions help on the platform as well as on your embedded page.

On-page transcript. Publish the full transcript as real HTML text near the video. This is the biggest win for search, because it puts every spoken word into the page body where crawlers and AI systems read it. Keep it as selectable text, not an image.

VideoObject structured data. Add VideoObject schema so Google understands the page holds a video and can show a rich result with a thumbnail, duration, and upload date. The schema supports a transcript property, so you can include the transcript text there too, giving search engines a clean, labelled copy of the spoken content.

How to fix this issue

Work through it in order. First, generate a caption file for each flagged video, by exporting auto-captions or running the audio through a transcription tool. Second, read the captions against the video and correct every error, because raw machine output is rarely accurate. Third, attach the corrected captions to the player through a WebVTT track or the platform uploader. Fourth, publish a clean transcript as text on the page. Fifth, add or update VideoObject structured data with the transcript property. Re-run the check once live.

Common mistakes

The biggest one is leaving auto-captions uncorrected. Automatic speech recognition mangles names, technical terms, and anything spoken over background noise, and uncorrected captions can read as nonsense or, worse, say something you never said. Under WCAG, inaccurate captions do not count as captions. Other frequent slips: assuming subtitles satisfy accessibility, putting the transcript inside an image where no crawler can read it, captioning dialogue but dropping meaningful sound cues, and forgetting to set the correct language. Treat the auto-generated file as a draft you always edit.
